The type of personal information we collect

We currently collect and process the following information:

  • Names and contact details (addresses, telephone numbers and email addresses) of our clients, contractors and suppliers
  • Credit information obtained from a credit agency
  • Information we obtain from Companies House
  • Curriculum Vitae for current, past and prospective Icknield team members

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you by email or during calls for one of the following reasons:

  • To enable us to discuss a prospective project where we would provide services to you
  • As part of discussions for you to provide services to an Icknield client

We also received personal information indirectly, from the following sources in the following scenarios:

  • Companies House, LinkedIn and a credit agency in order to check or add to other information you provide
  • LinkedIn to identify key contacts at current and prospective clients
  • You contacting us via the contact form on our website

We use the information that you have given us in order to:

  • Undertake “know your customer” procedures
  • Assist in assessing whether you would be suitable as a provider of services to a current or prospective Icknield client

We may share this information when discussing a client project with that client or with Icknield team members regarding working on that project.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting Steve Smith via email steve@icknield.com or using the contact details at the start of this document.

(b) We have a contractual obligation.

(c) We have a legal obligation.

How we store your personal information

Your information is securely stored electronically and is retained as follows:

  • Information on current and past clients for 10 years after completion of Icknield’s services to the client
  • Information on prospective clients for up to 1 year after discussions on Icknield’s services terminate
  • Information on current, prospective and past Icknield team members until they are no longer available to provide services on Icknield projects

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
